Questions entered into the website security assistant, together with a limited amount of recent conversation context, may be processed to answer your question and help identify a suitable service. If you submit client feedback, we may also collect your role, service used, rating, written review and consent to publication. Technical information such as IP address, browser type, cookie choices and website usage may also be processed when the relevant services are enabled.
3. How we use information
Information is used to answer website questions, suggest relevant security services, respond to enquiries, prepare quotations, discuss security requirements, moderate and publish approved client reviews, operate and protect the website, measure website performance where consent has been provided, and meet legal or regulatory obligations.
4. Our lawful basis
We process enquiry information because it is necessary to respond to your request and take steps before entering a contract. Some processing is based on legitimate interests, legal obligations or consent, depending on the circumstances.
5. Services and data sharing
Website information may be processed by trusted providers supporting hosting, email delivery, form protection, spam filtering, analytics and website maintenance. When AI answers are enabled, questions and limited recent conversation context may be sent securely to the OpenAI API to generate a response. The API key remains on the website server and chatbot transcripts are not intentionally saved in WordPress. OpenAI may retain API data in accordance with its published data controls and abuse-monitoring policies. Google Analytics, Google reCAPTCHA, Akismet and similar services will only operate in line with the website configuration and your cookie choices where consent is required.
6. Retention and security
Information is kept only for as long as reasonably required for the enquiry, contract, approved review, legal obligations or legitimate business records. Unapproved reviews can be removed from WordPress by the website administrator. Appropriate technical and organisational measures are used to protect information.
7. Your rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability or objection to processing. You may also withdraw consent at any time and complain to the Information Commissioner’s Office.
